No PDFs. No videos.
Only flows.

Kvasir is a visual, interactive, online workflow documentation and training platform.

It replaces the PDFs nobody reads, the training videos nobody watches, and the user manuals nobody opens. With freeform canvas-based workflow boards that journalists actually use.

Built on AWS. Searchable. Indexed. Living. And proven at scale:

9,000 journalists trained across 345 boards.

The Problem

Where training goes to die

Every media organization that has been through a technology transformation knows the pattern.
Millions are spent on new systems. Months are spent on planning. Workflows are redesigned, org charts are restructured, automation code is rebuilt. And then, at the moment that matters most. the moment when thousands of journalists need to learn how to work in an entirely new way; someone emails a PDF.

The PDF gets opened once, skimmed, and forgotten. A two-hour training session covers the basics, but nobody remembers the edge cases. New staff join three months later and receive a document that no longer reflects how the system actually works. Someone discovers a workaround and shares it on WhatsApp instead of updating the official process.

The gap between the "official workflow" and what people actually do starts growing on day one and never stops.

This is not a training problem. It's a documentation architecture problem.

Traditional workflow documentation — whether it's a PDF, a PowerPoint, a wiki page, or a video recording of a training session — has three fatal flaws.

It's static. The moment it's created, it starts decaying. Workflows evolve. Software updates roll out. Processes get refined. But the documentation stays frozen in time, and nobody has the bandwidth to rewrite it every time something changes.

It's monolithic. A 60-page user manual or a 90-minute training video tries to teach everyone everything all at once. But a reporter doesn't need to know what a gallery director knows. A video editor doesn't need to understand the archive workflow. When you give everyone the same document, nobody finds what they need.

It's disposable. Training happens once. The documentation that supported it has no afterlife. There's no living reference that the newsroom can consult when questions arise at 2am on a Saturday during a breaking story.

We built Kvasir because we hit this wall ourselves — and nothing on the market solved it.

What is Kvasir

Workflow documentation that actually works

Kvasir — pronounced /KWAA-vee-sear/ — is a visual, interactive, online workflow documentation and training platform hosted on AWS. It replaces every static document, every forgotten PDF, every outdated wiki page in your organization with living, searchable, role-targeted workflow boards that your teams can access from any browser, at any time.

Each Kvasir board is a free-form canvas. Workflows are laid out visually — not as pages of text, but as navigable maps with step-by-step instructions, annotated screenshots, sticky notes, and contextual explanations. Users zoom in to see the exact click sequence for a specific task. They zoom out to see how their workflow connects to other teams and other processes. They follow a subtly guided path through the canvas — but they can also explore freely, jumping to whatever they need in the moment.

The result is documentation that people actually use — not because they're told to, but because it's faster than
asking the person sitting next to them.

Key Capabilities

What makes Kvasir different

Visual, not textual

Every workflow is presented as a visual board — not a document. Step-by-step instructions are paired with annotated screenshots showing exactly what the user sees on their screen. Sticky notes provide context, tips, and warnings. The free-form canvas means users navigate spatially — zooming, panning, and following visual pathways — rather than scrolling through pages of text. This mirrors how people actually learn: by seeing, not just reading.

Searchable and indexed

Every step in every workflow has its own unique external link. The entire platform is searchable — by keyword, by workflow name, by step title. If a journalist needs to know how to file from the field using the new MAM, they search for it and land directly on the relevant step. No scrolling through a 60-page document. No scrubbing through a training video. Find it, share the link, done.

Living, not static

When a workflow changes — a software update, a process refinement, a new role or team structure — the Kvasir board is updated immediately. Built-in version control means every change is tracked. Changelogs with notifications mean every user knows exactly what changed, when, and why — without waiting for someone to re-email a document that may or may not reflect reality. The documentation is always current because it's designed to be maintained, not archived.

Role-targeted, not one-size-fits-all

Kvasir supports user group targeting. The reporter sees the boards relevant to their workflow. The producer sees theirs. The gallery director, the video editor, the digital editor, the engineer — each role gets a tailored view of the documentation that matters to them. Nobody wades through content designed for someone else. Multilingual translation means the same boards can serve newsrooms in multiple languages without duplicating content.

Analytics and automated supervision

Kvasir tracks how users interact with the workflow boards — not to monitor, but to support. Real-time analytics show which boards are being accessed, which steps are being revisited, and where users are getting stuck. If someone keeps searching for the same part of the workflow, Kvasir flags it — suggesting targeted retraining before the gap becomes a habit. Management gets visibility into training progress across the entire organization, with the ability to identify teams or individuals who need additional support.

Bespoke or default — your choice

Kvasir comes with default courses that teach the fundamentals of common media workflows and systems. But it's designed to be customized. The platform truly comes alive when we build bespoke workflow boards tailored to your specific newsroom — complete with screenshots from your actual systems, your actual terminology, your actual editorial processes. Off-the-shelf where it makes sense, custom-built where it matters.

How it Works in Practice

From training day to permanent reference

Kvasir isn't just a product you buy and install. It's a documentation and training backbone that serves your organization at every stage of a transformation and long after the transformation is complete.

Phase 1

During training

Kvasir is the primary delivery mechanism. Trainers walk teams through the boards in structured sessions, using the visual canvases as the teaching material itself. Because the boards mirror the real workflow with real screenshots, real terminology, real step-by-step sequences training is concrete, not abstract. Journalists learn by following the flow they'll actually use, not by watching slides about it.

Phase 2

During go-live

Kvasir is the safety net. When a journalist encounters an unfamiliar situation at speed and they will, because live news doesn't wait for anyone to finish reading a manual they pull up the relevant board, find the step they need, and get the answer in seconds. Every step has its own direct link, so support teams can send a journalist exactly the right reference instead of saying "check the training materials."

Phase 3

After go-live

Kvasir is the single source of truth. It's the permanent, living, updateable workflow reference that the entire newsroom can consult whenever they need it. When processes change, the boards update. When new staff join, they have immediate access to the complete workflow knowledge base current, accurate, and designed for their specific role. The gap between "how things are supposed to work" and "how things actually work" doesn't grow, because the documentation evolves alongside the workflow.

Always Current

Versioned boards with changelogs and notifications — documentation that evolves with your workflow, not against it

Common Problems Kvasir Solves

If any of this sounds familiar,
we should talk

  • That's what happens when training is an event and documentation is a PDF. Kvasir provides a permanent, living reference that journalists consult daily — not a one-time resource that decays from the moment it's created. When the documentation stays current, the workflows stay current.

  • Traditional documentation is designed to be written once and forgotten. Kvasir is designed to be maintained. Version control, changelogs, and notifications mean updates are fast, tracked, and automatically communicated to every user. Maintaining Kvasir boards takes a fraction of the effort of rewriting a PDF — and it actually gets done.

  • Because they're being handed the same outdated document that confused the last cohort. With Kvasir, new joiners get immediate access to the complete, current workflow documentation — targeted to their specific role. They don't need to wait for the next scheduled training session. They can self-serve from day one.

  • Workflow drift is inevitable when there's no single source of truth. Kvasir is that single source of truth — visible to everyone, consistent across teams, and updated in one place. When the reference is clear, current, and accessible, there's less reason to improvise.

  • Kvasir's multilingual translation and role-targeting mean the same boards can serve newsrooms in different countries and different languages without duplicating content. A reporter in Sydney sees the same workflow as a reporter in Melbourne — in the same language, with the same visual format, always current.

  • Vendor documentation teaches the software. Kvasir documents your workflow — the way your journalists actually work, in your systems, with your terminology. Bespoke boards are built with screenshots from your actual environment, so there's zero translation gap between what the documentation shows and what the journalist sees on their screen.

Certification & Learning Management

More than documentation
a complete learning platform

Kvasir isn't just workflow boards. It's a full learning management platform with capabilities that extend beyond documentation into structured training delivery, certification, and ongoing competency management.

Scheduling and learner management.

Plan and manage training activities across your organization assign courses, set deadlines, track completion. Whether you're rolling out training to 50 people or 5,000, Kvasir handles the logistics so your trainers can focus on teaching.

Certification.

Track individual and organizational certification milestones. When a journalist completes a workflow training module, it's recorded. When an entire team is certified on a new system, management has visibility. Certification data gives you confidence that your teams are ready not just trained, but verified.

Context-aware delivery.

Kvasir adapts to the learner. Based on their role, their team, their location, and their progress, the platform surfaces the most relevant content. A reporter being onboarded in a new city sees the workflows relevant to that newsroom. A producer moving to a new show sees the boards for that show's specific production workflow.

Proactive retraining.

Analytics don't just track what happened they predict what's needed. When usage patterns suggest a user or team is struggling with a particular workflow, Kvasir flags it and can suggest or schedule targeted retraining. Problems are caught before they become embedded habits.
